The NLC is a dedicated, leasing-only resource designed to provide our clients with an innovative approach to managing their leasing portfolios. In this role, the Specialist, Legal Operations will help identify and develop new business processes, maintain information and records, develop and maintain department technology applications, and work with different teams across the Firm to enable the NLC to grow and scale. The Specialist role will be a focal point of the legal team and will pay a central coordination role. This person must be a team player, have a strong work ethic and a mind-set of continuous improvement and be a self-starter in a fast paced environment. The role will need to adapt and evolve as legal operations build and align with the needs of the Centre and our clients. The role will be locatedat BLG’s Ottawa office and will report to the National Leasing Centre Lead Partner.

The ideal candidate will demonstrate a desire to identify problems and gaps, develop and design creative solutions and will have experience working in a legal environment, but does not have to have specific experience with Commercial Real Estate Leasing.

The key responsibilities of this role are:

  • Acts as primary contact for the intake of new clients for the National Leasing Centre including the coordination of conflicts, alternate fee arrangements and set up of electronic billing processes
  • Acts as primary contact for the intake of new matters for the Leasing Centre
  • Reviews and assesses each new Leasing matter and provides responsible lawyer(s) with key matter details including estimate of time commitment and urgency of matter as well as client specific requirements
  • Manages the recording, docketing and coordination of all Leasing Centre deadlines including liaising with clients on deadlines
  • Collaborates with Law Clerks, Practice Assistants and Lawyers to manage Leasing Centre matters and ensures deadlines are actioned
  • Develops and maintains a monitoring system for day to day communications and follow up on Leasing matters
  • Collaborates with the NLC Lead Partner and Project Manager to develop workflow processes to optimize the case load management
  • Assists in the testing and in the integration and adoption of technology to manage Leasing Centre matters and workflow
  • Develops and generates reports of Leasing matter deadlines
  • Develops and generates reports to provide Lawyers and clients with the status of Leasing matters
  • Assists in the development of precedent letters and creation and maintenance of templates in Contract Express or similar technology
  • Assists with the development and adoption of the National Leasing Centre best practices
  • Contributes to the ongoing development of the National Leasing Centre

The key competencies required are:

  • Law Clerk Diploma or equivalent combination of post-secondary education and experience in a legal or operations field
  • Experience working in a Law Firm or In-house as a Law Clerk, Legal Assistant, or Legal Business Operations role for a minimum of 5 years
  • Experience developing work flows, Lean Six Sigma
  • Experience with Contract Express, Intapp systems and CMS an asset
  • Strong organizational and problem solving skills
  • Strong interpersonal skills and a team player
  • Strong computer skills, particularly with Windows-based computer systems including Microsoft Word, Excel, outlook and Adobe.
  • Available to work overtime, when necessary
  • Excellent communications skills, both verbal and written
  • A strong work ethic and commitment to excellence
