Roles & Responsibilities

BLG's Intellectual Property Group is looking for Document Specialists with Patent knowledge and experience to join its team. These positions will appeal to candidates interested in supporting Patent Professionals with a seamless, professional, accurate and efficient document production service. The Document Specialist is a highly specialized role and will be primarily responsible for:

  • Producing, formatting and amending client correspondence, documents, reports, attachments etc. related to the Intellectual Property practice, in accordance with client special instructions and using the firm's specific systems/procedures
  • Drafting or creating various Patent official correspondence such as Office Action Responses, Extension of Times, Revised Applications, Voluntary Amendments, PPH Requests, information letters, and other correspondence
  • Proofreading and checking documents for accuracy
  • Producing and amending client reports and other important documents using Excel, PowerPoint, organizational charts, etc.
  • Assisting Team Leaders, Practice Assistants and fellow Document Production Specialists locally and nationally with workload as required
  • Supporting and helping other team members by sharing system knowledge and ensuring own and others' skills are developed
  • Participating in regular scheduled training sessions to maintain optimum systems knowledge

Key Competencies Required

A Document Specialist has a responsibility to ensure their skill set remains up to date and they are familiar with the firm's departments, key personnel, clients, internal systems and procedures. This will ensure that the Document Specialist is able to carry out their role effectively and, where appropriate, discuss any training requirements with the Team Leader in their area. In addition to this, they should have/be:

  • A minimum of 3 years' of experience as an IP Assistant/Law Clerk specializing in Patents (or equivalent)
  • Accurate typing speed of at least 60 words per minute
  • Advanced knowledge of Microsoft Word, Outlook, Excel, PowerPoint and any other core systems implemented by the firm
  • Ability to strip document formatting and reformat in house style
  • Ability to repair problem documents either on own or with support from IT
  • Excellent telephone manner
  • Excellent communication and team skills
  • Excellent attention to detail
  • Flexible and dependable
  • Able to take initiative
  • Able to remain calm under pressure and work to tight deadlines
  • Conscientious, approachable, and enthusiastic
  • Able to quickly build confidence, respect, and trust with others
  • Sound knowledge of support services
  • A desire to enhance the skills of self and others
  • A strong focus on ensuring the highest levels of service standards are delivered and maintained
