Roles & Responsibilities

BLG’s Intellectual Property Group is looking for Document Specialists with Patent knowledge and experience to join its team. These positions will appeal to candidates interested in supporting Patent Professionals with a seamless, professional, accurate and efficient document production service. The Document Specialist is a highly specialized role and will be primarily responsible for:

  • Producing, formatting and amending client correspondence, documents, reports, attachments etc. related to the Intellectual Property practice, in accordance with client special instructions and using the firm’s specific systems/procedures
  • Drafting or creating various Patent official correspondence such as Office Action Responses, Extension of Times, Revised Applications, Voluntary Amendments, PPH Requests, information letters, and other correspondence
  • Proofreading and checking documents for accuracy
  • Producing and amending client reports and other important documents using Excel, PowerPoint, organizational charts, etc.
  • Assisting Team Leaders, Practice Assistants and fellow Document Production Specialists locally and nationally with workload as required
  • Supporting and helping other team members by sharing system knowledge and ensuring own and others’ skills are developed
  • Participating in regular scheduled training sessions to maintain optimum systems knowledge

Key Competencies Required

  • A minimum of 3 years’ of experience as an IP Assistant specializing in Patents (or equivalent)
  • Advanced technical skills, specifically in MS Office (Word, PowerPoint, Excel, and Outlook) and be committed to furthering their knowledge to remain up-to-date on current technology and best practices
  • Accurate typing speed of at least 60 words per minute, the ability to strip document formatting and reformat in house style, as well as the ability to repair problem documents either on own or with support from IT
  • Superior written communication skills in English, have excellent attention to detail, and the ability to remain calm under pressure and work to tight deadlines
  • Conscientious, approachable, and enthusiastic with a desire to enhance the skills of self and others
  • A strong focus on ensuring the highest levels of service standards are delivered and maintained
